Scarab OS

Switching shop software without starting from zero.

What you can bring into Scarab OS from the system you use now, what stays behind, and the order to do it in so nothing is lost.

Which plan brings your history across

Importing your old records is included on Shop, $189 a month, and on every Group location. Solo starts from the first job you write here; you can still add customers by hand.

For comparison, Tekmetric charges $750 to migrate a shop from Mitchell 1, and $750 for each migration after that, according to its own support article, read on 13 September 2026.

What comes across

  • Your customers, with their names, phone numbers and email addresses
  • Their vehicles: VIN, year, make and model, either one row per vehicle or all of a customer's vehicles in one cell
  • Past repairs, each as a sealed record dated to the day the work was done, with what was done, the parts, the total and the mileage wherever your file has them, and your old invoice number

Imported repairs are marked as entered afterwards, so nobody reading one mistakes it for a record taken at the time. What a sealed record is.

What stays behind

  • Photographs, inspection sheets and estimates from the old system
  • Jobs still open on the day you switch, which you write up fresh
  • What was paid: an imported repair records what it cost, not the payments against it
  • Messages, appointments and time-clock hours

The order that loses nothing

  • Export from your old system first

Before you cancel anything, export your customers and your invoice history as CSV files. If your current system does not offer an export, ask it for one while you are still a customer.

  • Bring customers and vehicles across

The import panel is on the Customers page, under the list. Choose Customers & vehicles. Common column names are recognized, including the ones QuickBooks uses: Customer or Display Name, Phone, Email, VIN, Make, Model and Year. A customer already here, with the same phone number or name, is not added twice.

  • Bring your history across, once

Choose Past service history. Every row needs the customer's name and a date with a four-digit year, written the same way down the file: 2024-03-12 reads only one way, and if every date could be month first or day first, you are asked which. A date in words, like Mar 12, 2024, or dated in the future, is refused. You see a preview before anything is saved: what will be imported, what was already imported, and each line refused, with the reason. Import the same file again and nothing is added twice. A repair already imported for the same vehicle on the same day is turned away: matched by its old invoice number or, where there is none, by what was done.

  • Write up the jobs still open

Anything in progress on the day you switch goes in as a new job, the ordinary way.

  • Keep the files you exported

They are your own copy of exactly what you brought across.

And if you ever leave

Export is never a paid feature. Everything the shop holds, photos included, downloads from Settings on every plan, and after the shop is closed for as long as we hold its records — closing removes nothing.

Talk it through

Importing from CSV files is yours to do on Shop and Group, at no extra charge. If your old system will not export cleanly, or you want help beyond the import, tell us what you use now and roughly how much history you have.
